Can I cancel a registration and what are the conditions ?

Only written cancellations by email will be accepted based on the received date. Cancellations received until November 30th are refundable in full.
Payments made on-line with a credit card will be refunded on this valid credit card.
For bank transfers, refunds will be processed via bank transfer in Euros after completion of EVS38. Bank charges are the responsibility of the registrant.

What payment methods are accepted for registration ?
  • Credit Card: You can pay online via a secure banking page (Visa or Mastercard). To pay later, access your personal account and use the secure banking page button.

You can request an invitation letter during registration. It will be automatically sent to your email within 1 business day. You can also find it in your personal account. How can I obtain a registration confirmation ?

You will receive an automatic confirmation email upon completing your registration. Please check both your inbox and spam folder. What should I do if I need to register more than 7 people ?

Can I modify a information on the pass ?

Typographical errors and changes to your registration details, such as email, company name, contact numbers, address, and country, can be amended after registration. Are there any special rates available for the event ?

To qualify for a special rate, you must provide proof of your student status when registering. Please submit your enrollment proof or student ID/certificate. If you do not provide this documentation, you will be required to pay the full delegate registration fee.

What is the registration process ?

When will I be able to register for the event ?

How do I collect my badge at the event ?

ABSTRACTS

Is it possible to change the names of authors of the abstract ?

The submitter is responsible for thoroughly verifying that the names of the author(s) and their affiliation(s) are spelled and formatted correctly, including proper capitalization and punctuation.

Once the submission is finalized, the submitter cannot edit the names or affiliations, and they will be published exactly as entered. EVS assumes no responsibility for any errors in the author or affiliation information.

How can I delete my abstract ?

If you have your abstract in draft mode, you can log in to the system and delete it on your own. If your abstract is already submitted but the review has not started yet, you can request withdrawal by email to  This email address is being protected from spambots. You need JavaScript enabled to view it.. Please clearly mention the abstract number and title.

If review has already started, you need to wait for the outcome of the review and in case of acceptance, you need to withdraw.

Are you going to extend the deadline for abstract submission ?

Deadlines are fixed and must be held to follow up with review. The server is usually hampered by traffic in the hours leading up to the final deadline, and we encourage you to submit your abstract before the cut-off time. Submitters are responsible for ensuring that their abstract is uploaded on time.

How many abstracts can be submitted by a single author ?

There is no limitation on the number of abstracts submitted by a single author. This also includes co-authorship. Please ensure abstracts do not contain duplicate or overlapping data.

Will I need to attend the 38th International Electric Vehicle Symposium & Exposition (EVS38) in order to present my abstract ?

If your abstract is accepted, you must attend EVS 38 onsite with a valid registration to present your work.

Do I need to register for the 38th International Electric Vehicle Symposium & Exposition (EVS38) before submitting my abstract for it to be considered for selection ?

There is no need to register for EVS 38 to submit an abstract. If an abstract is accepted, registration of the presenting author to the congress is required to be eligible for publication and presentation of the abstract.

What is a dialog session?

A dialogue presentation is a poster based presentation on a large flatscreen and part of topical sessions of the official Symposium program. Presentation time will be scheduled after review.

What is a Lecture session ?

A Lecture presentation is an oral presentation given in an auditorium as part of a topical session in the official symposium program. The presentation time will be scheduled after the review process.

What are the key dates for the abstract submission process ?
